Job Summary
Exodus is seeking a highly motivated, proactive Office Administrator to join our growing team. This role is the backbone of our daily operations, combining front-office hospitality with essential administrative, financial, and clerical support.
Key Responsibilities
- Act as the first point of contact, greeting visitors and managing security awareness.
- Handle public inquiries via phone and email; manage staff movement logs
- Generate and dispatch invoices; conduct professional follow-up calls regarding outstanding payments and receipts
- Manage petty cash disbursements, maintain accurate records, and perform regular reconciliations.
- Develop and maintain efficient physical and digital filing systems.
- Ensure the office remains a clean, safe, and professional working environment.
- Update appointment calendars and schedule meetings/appointments
- Monitor office equipment and coordinate repairs or supplies.
- Flexible to undertake diverse tasks as required to support the growth of a young organization.
Requirements
- Proven experience as an Office Administrator, Office Assistant, or relevant role.
- Proficiency in MS Office (Word, Excel, and Outlook).
- Excellent organizational and time-management skills.
- Excellent written and verbal communication skills in both English and Swahili.
- Diploma in office administration or relevant field is a plus.
